Velappity is a flexible cloud and mobile software product which is designed for companies which manage and perform field inspection tasks including risk assessment, audits, field surveys, tests or any data capture which can be done in the field. The system also allows compliance testing and monitoring to be scheduled and carried out. The main uses of the system are in the fields of environmental health and safety, legionella risk assessments and monitoring, fire safety and other monitoring tasks which require risk assessment and ongoing monitoring.
There are two main modules within the system:-
- Digital Mobile Forms
- Compliance
Digital Mobile Forms
Velappity allows users to convert their existing Word forms into digital forms which can be completed by field workers, on a mobile device such as an iPhone, iPad and Android phone or table. The data captured can be presented in rich, client ready reports which can be designed using the users existing Word forms. For example, if a company has a form for a fire safety inspection that their field workers fill out using pen and paper, then the Word version of that form can be converted to an electronic mobile form. The data is then captured on a mobile device and the finished document still presented using the existing Word format. Reports can contain text, photos and signatures as well as more sophisticated elements which allow, for example, a selection value (Yes/No) to trigger the inclusion of a large paragraph of text in a report.
Many Velappity users produce large risk assessments of up to 100 pages containing data captured with photos and text in a format that is well presented and ready for distribution to internal and external stakeholder. The automation of this document production can save up to 50% in the cost of manually completing tasks and then typing a report.
Compliance
In various health and safety scenarios, a risk assessment is generally completed, and this is followed up with a compliance or control regime to ensure that there is continual inspection of the site or asset being managed.
The compliance module allows field workers to perform regular inspection and testing under a control regime. For example, a legionella monitoring regime may require water temperature testing of assets to be performed on a regular basis to ensure that the temperature is within specified health and safety parameters. The compliance module allows the setup of sites and assets as well as the tests to be performed on the asset. In addition, the module can schedule the frequency of those tests (e.g. monthly, quarterly, etc.), raise and allow management of non-compliances for failed tests, raise issues on overdue tests and report non-compliances to health and safety stakeholders.
The compliance module allows very flexible and powerful inspection/testing regimes to be set up on asset types so that regimes can be customised down to a site or asset type level. For example, a regime can be set up such that all asset types of ‘shower’ need to have a temperature test performed every month to check the temperature is within defined parameters.
The compliance module also contains a client portal which allow various stakeholders (clients or sub-contractors) to view, manage and close health and safety issues.
